About You

Success in this role includes

Taking on the initiative and responsibility for managing live events through the full cycle of production: concept development, logistics and planning, onsite execution, and liaising with various stakeholders.

Key Responsibilities

  • Coordinating and communicating to event participants, building rosters, orientation, visa letters, and logistics, as appropriate.

  • Liaise with Events Team, Host, and/or National Body to ensure logistics requirements are met.

  • Ensure supply list, sponsor tracking, and shipment arrangements are communicated and fulfilled.

  • Liaise with volunteers (including emcees and/or stage managers), to ensure that they have all support items and information, required for their role.

  • Meet all deadlines.

  • Facilitate onsite problem resolution.

  • Support production management of stage.

  • Ensure sponsorship deliverables are communicated and executed on stage.

  • Maintain and improve tools, documents, and processes related to competitions (and other events) coordination.

  • Liaise with committees and WCE Reps, when relevant to event management.

  • Proactively identify potential issues and troubleshoot with resolutions and alternative plans.

  • Support the organization of other events, as required.

  • Help develop ideas, logistics, and templates for new events.

  • Manage and train other people when necessary (volunteer managers, other colleagues)

  • Design floor plans.

  • Create logistics briefing documents for events.

  • Provide feedback on all events, and present event evaluations to the Events Team.

  • Duties, responsibilities and activities may change or develop and are subject to amendment at any time based on association and departmental needs.

Qualifications

  • Minimum of 2 years of experience in specialty coffee industry

  • Proven success managing workload and schedules

  • Ability to effectively problem-solve anticipated and immediate challenges

  • Proficient in MS Office suite, cloud systems and project management tools

  • Exceptional customer service and communication skills (both verbal and written)

  • Project management, events coordination, trade shows, and team collaboration a plus
